How do I find a WSIB-compliant commercial construction cleaning company in Ottawa?

Finding a commercial construction cleaning company in Ottawa that has its WSIB status sorted starts with knowing what to ask and what other documents to look for alongside it. People who own or run a construction business, with or without employees, must have WSIB coverage, with some exceptions. Whether a given cleaning company falls into that group is something to confirm with them directly.

What to Ask For and What to Look For

The simplest step is to ask each company whether they have WSIB coverage or a clearance certificate, and to ask for a copy of the certificate if they have one. A company that is set up properly should be comfortable answering the question clearly. If the answers are vague, treat that as a reason to keep looking. Check the date on any certificate you receive, and ask for an updated one if your project runs over a long period.

Beyond WSIB, there are other documents worth requesting before hiring. Ask for proof of liability insurance and what it covers, and check whether your general contractor or property manager has their own insurance requirements for anyone working on site. Ask whether workers have WHMIS training and whether Safety Data Sheets will be on site for the cleaning products the crew brings.

When evaluating potential contractors, ask specific questions about their experience with commercial post-construction cleaning rather than general commercial janitorial work. These are very different services — post-construction cleaning requires HEPA vacuums, air scrubbers, industrial floor scrubbers, and knowledge of how to clean new construction materials without damaging them. A company that primarily does office janitorial work may not have the equipment or expertise for post-construction work. Ask how many commercial post-construction jobs they have completed in the past year and request references from similar projects.

Get itemized written quotes from more than one company. Each quote should break down the scope of work by phase — rough clean, detail clean, and final touch-up — and clearly list what is included, such as debris removal and disposal, window cleaning, HVAC vent cleaning, and restroom sanitization. Vague quotes that simply state a lump sum without detailing the work are a warning sign. Compare quotes on scope, not just price — a much lower bid can mean something has been left out.

A good starting point for your search is the Ottawa Construction Network directory at justynrookcontracting.com, which lists contractors across construction trades including cleaning services in the Ottawa area. You can browse contractor profiles and contact them directly to request quotes and documentation. Asking your general contractor for recommendations can also help, since GCs on commercial projects may have worked with cleaning companies on past jobs. Whichever route you take, ask for the WSIB answer and the insurance proof in writing rather than relying on a verbal yes.
